About FuelCFO

Accounting built only for gas stations

FuelCFO is a specialist accounting and bookkeeping firm for gas stations and convenience stores. Fuel, store, lottery, car wash, food service and cards all behave differently, and a generalist bookkeeper tends to blend them into one number you cannot act on.

We keep them apart, tie everything to the bank every month, and give you books you can show a lender, a CPA or a buyer.

Our mission

Give every station owner numbers they can trust

Most station owners run on feel, because the books arrive late and say little. Our mission is to replace that with clear, monthly financials that show where the money is made and where it leaks, so decisions about pricing, staffing, expansion or selling rest on numbers.

We do that by working the way a station actually runs: fuel margin apart from store margin, lottery and sales tax as the liabilities they are, and every deposit matched to the days behind it.

Your point-of-sale system records what happened at the register. Your books should explain what it means.

How we think about every engagement
What we commit to

Six things you can hold us to

  • Fuel, store, lottery and other income streams reported separately, not blended into one sales line.
  • Every month tied to the bank, with deposits and card settlements matched to the days behind them.
  • Sales tax, lottery and other pass-through money kept out of income.
  • Card fees, royalties and brand fees recorded, so margin is real and not flattered.
  • A short written note each month on anything we changed or could not place.
  • Working from the reports you already export, with no login to your systems needed.
Our vision

A station owner who knows their numbers as well as their forecourt

We want financial clarity to be normal in fuel retail: owners who can see each site's margin, compare locations fairly, borrow on clean books and sell on a record a buyer can verify. Accounting that is built for the industry, and not adapted from some other one, is how we get there.

Standards & values

How we work

Specialists, not generalists

We work only with gas stations and convenience stores, so the chart of accounts, the checks and the reports are built for them from the start.

Plain answers

We say what we found, what we changed and what we could not tell, in words an owner can use.

Independent

We do not sell, resell or recommend point-of-sale systems, and we are not affiliated with any vendor. Equipment and settings questions go to your vendor.

Accuracy over speed

A fast number that does not tie to the bank is not useful. We close each month only when it does.

Respect for your access

We work from exported reports and your QuickBooks Online file, and never need your own passwords.

Honest about limits

If a question belongs to your tax advisor, your lender or your vendor, we tell you so, rather than guessing.

Who we are

Part of the Accrivo family

FuelCFO is the fuel-retail practice of Accrivo LLC. It was founded by Sahil Ahmad, who also founded Accrivo and FinTruction, a bookkeeping firm for the construction industry. The same idea sits behind each: one industry, done properly, with reporting built around how that industry makes and loses money.

You can hear how we approach real engagements on our YouTube channel.

Works with your system

We work from the reports your point-of-sale or back-office system already exports, and post them to QuickBooks, Xero or Sage Intacct. We never need to log in to your systems.

What we do

From daily numbers to a clean sale

Bookkeeping & reconciliation

Daily sales, deposits, card settlements and fuel inventory posted and matched every month.

Margin & reporting

Fuel and store margin by site, category-level reporting and a one-page owner report you will actually read.

Tax & compliance

Sales tax, motor fuel excise, entity structure and the records a lender or auditor will ask for.

Proof from our construction brand

Real US-based contractors. Same team, same operational discipline that we now bring to gas stations. Construction is a different vertical - but the muscle (multi-stream books, cost reconciliation, niche specialization) is the same one stations need.

"They didn't just record transactions and call it a day. They built a custom chart of accounts around how a remodeling company actually runs, did a full catch-up on years of bookkeeping inside QuickBooks Online, and now stay on top of my monthly bookkeeping and payroll."

Oniel Campbell Oniel Campbell
Founder, Moonz Contracting

"Sahil and his team have been handling the bookkeeping and job costing for my painting business. They've done a great job cleaning up my books, using integrations to give me accurate, timely job costing and solid weekly data. Reliable, and the team is very detailed."

Dalton Mayberry Dalton Mayberry
Owner, ProperCoat Painting
Carl Moore

"They rebuilt the whole thing from the ground up, with real job costing, WIP, and retainage."

Carl Moore

Owner, Hearth & Haus

"They set the accounts up properly first, then cleaned up everything I never entered."

Rolian Rolian
Owner, Overtime Electric

"When I came to them I had no financial structure in place at all. No job costing, no WIP tracking, books were behind, no real way to tell if any job was actually making money. They came in, did a full cleanup, and set up job costing and WIP tracking inside QuickBooks."
