How your POS reaches QuickBooks

QuickBooks Integrations for Gas Station POS Systems

Your register and back office total the day. QuickBooks Online keeps the books. This hub covers how totals move from PDI, Modisoft, Verifone and Gilbarco into QuickBooks, how to set the sync up safely, and how to find the gap when numbers stop matching. We do not set up or repair any connection.

How your POS and QuickBooks fit together

Three ways totals reach QuickBooks

Someone types the daily totals in, a report is exported and imported in a batch, or a connecting tool passes totals across. Which routes your setup supports depends on your vendor and plan, so ask them in writing. Our QuickBooks integration guide explains the three routes and what to check on each.

Why a connection is not enough

A connection moves totals. It does not record card fees, match deposits to settlements or decide how lottery and sales tax are treated, and a failure leaves no message. Count the days posted against the days closed, and tie the bank every month. See why QuickBooks does not match your POS report.

Pick your system

Each system has its own guides for setup, for a sync that has stopped, and for whether it replaces QuickBooks. Use the sections below, or jump to the PDI, Verifone, Modisoft or Gilbarco hub.

A month of checking the hand-off

Each month we confirm the route your totals take, count the days posted against the days your system closed, follow each department and tender to its account, and match deposits and settlements to the bank. Timing is separated from real differences, and card fees are recorded as expense. You get closed books and a note on anything we changed or could not place.

The mistakes we see most

A day posted twice because a file was loaded again. A day that never arrived because a connection dropped without a message. A department mapped to the wrong account after it was renamed. Sales tax and lottery counted as income. Card fees never recorded. A closed month edited after it was shared with a lender or CPA.

What we handle and what stays with you

We write the account map, check the days, tie the bank, record what a connection skips and repair the books when something breaks. You keep running the store and keep the connection working with your vendor. We do not set up or repair connections, and we say what to ask your vendor.

How to use this hub

If you are setting up a sync, go to the system section and start with the how-to guide. If numbers have stopped matching, start with the not-working guide or the system-neutral mismatch guide. We work from your reports and your QuickBooks Online file, and never need your login.

Modisoft and QuickBooks

Whether Modisoft replaces QuickBooks, how its totals move across and why they stop matching.

FinTruction · Construction Clients

Proof from our construction brand

Real US-based contractors. Same team, same operational discipline that we now bring to gas stations. Construction is a different vertical - but the muscle (multi-stream books, cost reconciliation, niche specialization) is the same one stations need.

"They didn't just record transactions and call it a day. They built a custom chart of accounts around how a remodeling company actually runs, did a full catch-up on years of bookkeeping inside QuickBooks Online, and now stay on top of my monthly bookkeeping and payroll."

Oniel Campbell Oniel Campbell
Founder, Moonz Contracting

"Sahil and his team have been handling the bookkeeping and job costing for my painting business. They've done a great job cleaning up my books, using integrations to give me accurate, timely job costing and solid weekly data. Reliable, and the team is very detailed."

Dalton Mayberry Dalton Mayberry

Carl Moore

"They rebuilt the whole thing from the ground up, with real job costing, WIP, and retainage."

Carl Moore

Owner, Hearth & Haus

"They set the accounts up properly first, then cleaned up everything I never entered."

Rolian Rolian
Owner, Overtime Electric

"When I came to them I had no financial structure in place at all. No job costing, no WIP tracking, books were behind, no real way to tell if any job was actually making money. They came in, did a full cleanup, and set up job costing and WIP tracking inside QuickBooks."
