Comparing Modisoft and QuickBooks

Modisoft vs QuickBooks: What Each Is For at a Gas Station

Modisoft and QuickBooks are not competitors. One runs the store and the other keeps the books, and they share the same numbers from opposite ends. This page compares them side by side, shows which question each one answers, and explains how to keep them in agreement. We sell neither.

Quick answer

What is the difference between Modisoft and QuickBooks?

Modisoft is a cloud POS and back office that runs the register and totals the day. QuickBooks Online is accounting software that keeps the ledger, bank matching and financial statements. Most stores need both, and the work is making sure the totals Modisoft produces reach QuickBooks correctly.

Modisoft vs QuickBooks: a side-by-side

This is a comparison of jobs, not a ranking, because they do different things. Modisoft describes itself as a cloud POS and back office with inventory, reporting, fuel and lottery management, multi-store management and daily reconciliation. QuickBooks Online is general accounting software. We work from the reports Modisoft already produces, your statements and your QuickBooks Online file. We are not part of Modisoft or Intuit, we do not set up or change anything in either, and what your own Modisoft plan includes is something to confirm with Modisoft.

Built for different jobs

Modisoft is built to run a convenience store or gas station: ring sales, track fuel and lottery, count the drawer. QuickBooks is built to keep any business's books. One knows the store, and the other knows accounting.

Where their numbers overlap

Sales totals, tax collected and deposits appear in both. They are not the same number in the same form. Modisoft shows what the store says happened. QuickBooks shows what has been recorded and what the bank received.

What each one cannot do

Modisoft does not produce the statements a lender or CPA expects, and QuickBooks does not run a register or count a drawer. Each depends on the other for what it lacks.

Who uses which

Store managers and owners check Modisoft for the day. CPAs, lenders, buyers and tax preparers work from QuickBooks. If you want both groups to trust the numbers, the two must agree.

Keeping them in agreement

Compare income for a sample day in both, count the days posted against the days closed, and match deposits to the bank. A difference means a missing day, a doubled day, a wrong account or timing. Do this monthly.

How to use this page

For the comparison table, go to the side-by-side. For the usual mistakes, go to where it goes wrong. For whether you can drop one, read does Modisoft replace QuickBooks. To have a team own the hand-off, see what we do.

What we do to keep them in agreement

1

Compare the overlap

Where both show the same figure, we tie them.

2

Fill the gaps

Fees, timing and pass-through money are handled in the books.

3

Write the map

Modisoft departments go to named QuickBooks accounts.

4

Check the days

Every day is posted once and ties to the bank.

How the comparison runs each month

1

List the questions you ask

We note what you want to know each month.

Examples: how much did fuel earn, am I short on deposits, what do I owe in tax.

The question decides which system we ask.

2

Gather the matching sources

Modisoft reports for operational questions, QuickBooks for financial ones.

We confirm the set is complete the same week.

We never need your Modisoft login.

3

Compare the overlap

Where both claim to know the same figure, we tie them.

A difference tells you where an entry is missing or wrong.

We list every difference with a reason.

4

Fill the holes

Fees, timing and pass-through money are handled in the books.

This is the part neither system does alone.

Lottery and tax are held as liabilities.

5

Answer in plain English

You get the books and a short reply to each question.

No jargon, and the numbers behind each answer are saved.

Your CPA can be copied.

Where comparing them goes wrong

Treating them as rivals

You cancel one and lose a job nobody else does.

Trusting only one set of numbers

The other has a gap nobody sees.

Different definitions of sales

One is net of tax and the other is gross.

No bank check

Neither is proved against what arrived.

Nobody owns the hand-off

Each side assumes the other posted it.

"They didn't just record transactions and call it a day. They built a custom chart of accounts around how a remodeling company actually runs, did a full catch-up on years of bookkeeping inside QuickBooks Online, and now stay on top of my monthly bookkeeping and payroll."

"Sahil and his team have been handling the bookkeeping and job costing for my painting business. They've done a great job cleaning up my books, using integrations to give me accurate, timely job costing and solid weekly data. Reliable, and the team is very detailed."

"They rebuilt the whole thing from the ground up, with real job costing, WIP, and retainage."

"They set the accounts up properly first, then cleaned up everything I never entered."

Rolian Rolian
Owner, Overtime Electric

"When I came to them I had no financial structure in place at all. No job costing, no WIP tracking, books were behind, no real way to tell if any job was actually making money. They came in, did a full cleanup, and set up job costing and WIP tracking inside QuickBooks."
