Modisoft and QuickBooks

Does Modisoft Replace QuickBooks? A Plain Answer for Gas Station Owners

Modisoft runs the register and the back office, and it lists reporting and daily reconciliation among its features, so it is fair to ask whether you still need QuickBooks. For most stores the answer is yes. This page explains where Modisoft stops, what QuickBooks Online keeps, and what to check before dropping either one. We sell neither.

Quick answer

Does Modisoft replace QuickBooks?

For most stores, no. Modisoft runs the register and back office and reports each day. QuickBooks Online keeps the ledger, bank matching and financial statements that your CPA, lender and tax preparer rely on. Modisoft lists daily reconciliation as a feature, but that is not the same as a general ledger, so ask Modisoft exactly what yours covers.

Modisoft and QuickBooks: two different jobs

Modisoft describes itself as a cloud POS and back office with inventory, reporting, fuel and lottery management, multi-store management and daily reconciliation. QuickBooks Online is general accounting software. They touch the same numbers from opposite ends. We work from the reports Modisoft already produces, your statements and your QuickBooks Online file. We are not part of Modisoft or Intuit, we do not set up or change anything in either, and what your own Modisoft plan includes is something to confirm with Modisoft.

What Modisoft does

Modisoft records every sale at the register and pumps, totals the day by department and tender, and tracks fuel, lottery and inventory. It is the operational record of what happened at the store, and it is where you look to see why a day looked odd.

What QuickBooks Online does

QuickBooks holds the ledger: income, expenses, bank and card activity, sales tax owed and the statements your lender and CPA read. It does not know what sold at the pump. It only knows what is entered into it.

"Daily reconciliation" is not a ledger

Modisoft lists daily reconciliation as a feature, which usually means checking the day's totals against cash and tenders. That is a control on the store. It is not a general ledger, a bank reconciliation across months or a set of statements. The two sit at different layers.

Why most stores keep both

Dropping Modisoft leaves nobody running the register and totaling the day. Dropping QuickBooks leaves you without a ledger your bank and tax filings can use. The work in between is moving Modisoft totals across correctly, which is where most mistakes happen.

What to check before dropping either one

Ask who will total the day, who will keep the ledger, where tax and lottery balances will live and how you will get a statement for the bank. If any answer is nobody, do not cancel yet. Ask Modisoft in writing exactly what your plan covers.

How to use this page

For the layer table, go to the questions and answers. For the common mistakes, go to where it goes wrong. For the side-by-side, read Modisoft vs QuickBooks, and for how totals move, how to sync Modisoft to QuickBooks. To have a team own the hand-off, see what we do.

What we do so you can run both

1

Own the hand-off

Modisoft totals land in QuickBooks once, in the right accounts.

2

Tie to the bank

Deposits and settlements are matched to what Modisoft expected.

3

Handle what Modisoft skips

Card fees, lottery and sales tax are recorded in the books.

4

How the two work together each month

1

Modisoft totals the day

Each store closes its business day.

We rely on the closed day, not a figure seen mid-day.

Any day that did not close cleanly is listed.

2

You send the reports

Modisoft reports and bank statements arrive after month end.

We confirm the same week that the set is complete.

We never need your Modisoft login.

3

We post to QuickBooks

Totals go in, one account each, store by store.

Fuel, store sales, lottery and sales tax stay separate.

The account map is written down so it can be followed later.

4

We match the bank

Deposits and settlements are tied to what Modisoft expected.

Each difference gets a reason: timing, a fee, a missing day or a real shortage.

Fees are recorded as expense.

5

We report

You get closed books and a short note.

The note lists open items and anything that needs your answer.

Your CPA can be copied on the same package.

Where "Modisoft replaces QuickBooks" goes wrong

Cancelling QuickBooks too early

There is no ledger for the bank or the tax filing.

Treating daily reconciliation as the books

A control on the day is not a set of statements.

Entering the same day twice

One by hand and one by an import.

Nobody owns the hand-off

Each side assumes the other posted it.

Card fees missing

Sales total is gross and nothing records the fee.

"When I came to them I had no financial structure in place at all. No job costing, no WIP tracking, books were behind, no real way to tell if any job was actually making money. They came in, did a full cleanup, and set up job costing and WIP tracking inside QuickBooks."
