PDI and QuickBooks, side by side

Does PDI Replace QuickBooks? A Plain Answer for Gas Station Owners

Short answer: for most stores, no. PDI totals the day and reports it. QuickBooks Online keeps the ledger that your bank, CPA and tax office rely on. This page explains where each one stops, what the exceptions are, and what to check if you are thinking of dropping one. We sell neither.

Quick answer

Does PDI replace QuickBooks?

For most stores, no. PDI is best known for back-office reporting, totaling sales, fuel and deposits each day. QuickBooks Online holds the ledger, bank matching and statements. Some PDI plans include accounting features, so ask PDI what yours covers, but most owners and lenders still work from QuickBooks.

PDI and QuickBooks: where one stops and the other starts

Owners ask this when they see two subscriptions doing what looks like similar work. They overlap in a few places, but they are built for different jobs. This page is general and process-based. PDI Technologies describes its Enterprise product as covering things such as accounting automation, bank reconciliation and period close reporting for multi-site operators, and what your own plan includes is something only PDI can confirm. We are not part of PDI or Intuit, and we do not sell either.

What PDI does

PDI totals each store and business day: sales by department and tender, fuel by grade, lottery, tax and the expected deposit. It is the operational record of what happened at the store, and it is where you look when you want to know why a deposit was short.

What QuickBooks Online does

QuickBooks Online holds your ledger. It records income, expenses, bank activity, sales tax owed and the statements your lender and CPA read. It does not know what was sold at the pump. It only knows what has been put into it.

Why most stores run both

PDI knows the day, and QuickBooks keeps the books. Dropping PDI would leave nobody totaling the day. Dropping QuickBooks would leave you without the ledger your bank and tax filings rely on. The work in between is moving PDI totals across correctly, which is where most mistakes happen.

When PDI may do more of the accounting

Some larger PDI plans include accounting-style features such as bank reconciliation and period close. If you have them, some of the monthly work happens inside PDI. Even then, many owners keep QuickBooks because their CPA, lender or tax preparer expects it. Ask PDI exactly what your plan includes.

What to check before dropping either one

Before cancelling anything, ask who will total the day, who will keep the ledger, where the tax and lottery balances will live, and how you will get a statement for the bank. If the answer to any of these is nobody, do not cancel yet.

How to use this page

For the layer-by-layer comparison, go to the table. For the common mistakes, go to where it goes wrong. For how totals move across, read PDI vs QuickBooks and how to sync PDI to QuickBooks. To have a team own the hand-off, see what we do.

What we do so you can run both

1

Own the hand-off

We take PDI totals and make sure they land in QuickBooks once, in the right accounts.

2

Tie to the bank

Deposits and settlements are matched to what PDI expected.

3

Handle what PDI skips

Card fees, lottery and sales tax are recorded in the books.

4

Close the month

You get closed books and a note on anything unusual.

How the two work together each month

1

PDI totals the day

Each store closes its business day.

The closed day is the starting point. We rely on the closed report, not a figure seen mid-day.

Anything that did not close cleanly is listed.

2

You send the reports

PDI reports and bank statements arrive after month end.

We confirm the same week that the set is complete and list anything missing.

We never need your PDI login.

3

We post to QuickBooks

Totals go in, one account each, store by store.

Fuel, store sales, lottery and sales tax stay separate so none is counted as income by mistake.

The account map is written down so it can be followed later.

4

We match the bank

Deposits and settlements are tied to what PDI expected.

Each difference gets a reason: timing, a fee, a missing day or a real shortage.

Fees are recorded as expense.

5

We report

You get closed books and a short note.

The note lists open items and anything that needs your answer.

Your CPA can be copied on the same package.

Where "PDI replaces QuickBooks" goes wrong

Cancelling QuickBooks too early

There is no ledger for the bank or the tax filing.

Assuming PDI is the books

Daily totals are not statements, and card fees are missing.

Paying for two overlapping features

Both tools reconcile the bank and nobody knows which one is official.

Entering the same day twice

One by hand and one by an import.

Nobody owns the hand-off

Each side assumes the other posted it.

FAQ

Frequently asked questions

For most stores, no. PDI totals the day and reports it, while QuickBooks Online keeps the ledger, bank match and statements. Some PDI plans include accounting features, so ask PDI what yours covers.
Only if your plan includes accounting features and your CPA, lender and tax preparer accept statements from it. Most owners keep QuickBooks for that reason.
PDI describes accounting automation, bank reconciliation and period close as part of Enterprise. Whether that is enough depends on your plan and your CPA, so confirm with both.
They do different jobs. PDI knows what happened at the store, and QuickBooks holds the books. The hand-off between them is the part that needs care.
Pick one official daily report, write the account map, and check each month that every day was posted once and ties to the bank.
Yes. We work from your PDI reports and your QuickBooks Online file, and we do not need your PDI login.

"When I came to them I had no financial structure in place at all. No job costing, no WIP tracking, books were behind, no real way to tell if any job was actually making money. They came in, did a full cleanup, and set up job costing and WIP tracking inside QuickBooks."
