Everything for stores that run Modisoft

Modisoft Accounting & Bookkeeping for Gas Stations

Modisoft runs the register and back office. It does not replace your books. This hub covers the guides, the fixes and the done-for-you help for Modisoft stores, from the daily close to QuickBooks sync and switching to or leaving Modisoft. We do not sell Modisoft and we never need your login.

What it covers

  • Daily totals

How Modisoft and your books fit together

What Modisoft does and what it does not

Modisoft describes itself as a cloud-based POS and back-office system with inventory, reporting, fuel and lottery management, multi-store management, daily reconciliation and phone apps. It runs the store. QuickBooks Online keeps the ledger, bank matching and statements. Modisoft lists daily reconciliation, but that is a control on the day, not a general ledger. See does Modisoft replace QuickBooks.

Why the hand-off needs checking

Totals reach QuickBooks by typing, a file import or a connecting tool, depending on your plan. Each fails in a different way, and a failure leaves no message. Our guides on syncing Modisoft to QuickBooks and why it does not match cover both ends, and Modisoft accounting shows how we run the month.

Buying, switching to or leaving Modisoft

Because Modisoft is cloud-based, a store's history sits in an account the seller controls. See taking over a Modisoft store, switching to Modisoft, moving off Modisoft and Modisoft alternatives.

A Modisoft month in practice

After month end you send the Modisoft daily and monthly reports for each store and the bank and card statements. We confirm every day is there, post each total to its own QuickBooks account, match deposits and settlements to what Modisoft expected, record card fees, and tie lottery and sales tax to their statements. You get closed books and a short note. Nothing changes in Modisoft, and we never ask for your login.

The mistakes we see most at Modisoft stores

Treating daily reconciliation inside Modisoft as if it were the books. Totals typed or imported twice. A department added or renamed with no matching QuickBooks account. Scan data rebates that arrive as unexplained deposits. Card fees never recorded. A store sold or bought without anyone checking who owns the cloud account.

What we handle and what stays with you

We post the totals, match the bank, handle tax and lottery as liabilities, close the month and report. You keep running the store and answer our questions about unusual days. Plan details, devices, apps and report settings go to Modisoft or your reseller, and we say so when we find one.

How to use this hub

Start with the section that matches your question. If you want the books done, go to Work with us. If totals do not match, go to Fix the numbers. If you are choosing a system, go to Buy, move, compare. What your own plan includes is something to confirm with Modisoft.

Proof from our construction brand

Real US-based contractors. Same team, same operational discipline that we now bring to gas stations. Construction is a different vertical - but the muscle (multi-stream books, cost reconciliation, niche specialization) is the same one stations need.

"They didn't just record transactions and call it a day. They built a custom chart of accounts around how a remodeling company actually runs, did a full catch-up on years of bookkeeping inside QuickBooks Online, and now stay on top of my monthly bookkeeping and payroll."

Oniel Campbell Oniel Campbell
Founder, Moonz Contracting

"Sahil and his team have been handling the bookkeeping and job costing for my painting business. They've done a great job cleaning up my books, using integrations to give me accurate, timely job costing and solid weekly data. Reliable, and the team is very detailed."

Dalton Mayberry Dalton Mayberry

Carl Moore

"They rebuilt the whole thing from the ground up, with real job costing, WIP, and retainage."

Carl Moore

Owner, Hearth & Haus

"They set the accounts up properly first, then cleaned up everything I never entered."

Rolian Rolian
Owner, Overtime Electric

"When I came to them I had no financial structure in place at all. No job costing, no WIP tracking, books were behind, no real way to tell if any job was actually making money. They came in, did a full cleanup, and set up job costing and WIP tracking inside QuickBooks."
