For stores that ring up sales on Modisoft

Modisoft POS for Gas Stations: What It Records and How It Reaches Your Books

A Modisoft POS rings up fuel and store sales and passes them to the back office. This page explains what the register records, what it leaves out, and how those sales travel into QuickBooks Online.

What a Modisoft POS records at a gas station

The register is where every sale starts. Modisoft is a point-of-sale system for convenience stores and gas stations, so it sits at the counter and works with the pumps. Everything in your books begins with what it records, which is why it matters how that data is handled afterwards.

Fuel sales

Fuel sold at the pump is recorded by grade and amount, along with how it was paid for.

Store sales

Items rung up at the counter are recorded by department, with the tax on each sale.

Tenders

Each sale is tied to how it was paid: cash, credit or debit card, fleet card, or other methods your store accepts.

Lottery and pass-throughs

Lottery sales and sales tax pass through the register but are not your income. They have to be separated before the books are posted.

How to use this page

To see how the register connects to the rest of the system, go to where the numbers move. To see which problems appear, go to where it goes wrong. If you want a team to handle it, what we do covers it.

Next steps

What we do with your Modisoft register data

1

Start from your reports

We use the reports your Modisoft system produces, with no change to the register.

2

Map every department

Each department and tender goes to one clear account in QuickBooks Online.

3

Separate the pass-throughs

Lottery and sales tax are kept out of income.

4

Tie it to the bank

Totals are matched to deposits and settlements, with fees recorded.

Proof from our construction brand

Real US-based contractors. Same team, same operational discipline that we now bring to gas stations. Construction is a different vertical - but the muscle (multi-stream books, cost reconciliation, niche specialization) is the same one stations need.

"They didn't just record transactions and call it a day. They built a custom chart of accounts around how a remodeling company actually runs, did a full catch-up on years of bookkeeping inside QuickBooks Online, and now stay on top of my monthly bookkeeping and payroll."

Oniel Campbell Oniel Campbell
Founder, Moonz Contracting

"Sahil and his team have been handling the bookkeeping and job costing for my painting business. They've done a great job cleaning up my books, using integrations to give me accurate, timely job costing and solid weekly data. Reliable, and the team is very detailed."

Dalton Mayberry Dalton Mayberry

Carl Moore

"They rebuilt the whole thing from the ground up, with real job costing, WIP, and retainage."

Owner, Hearth & Haus

"They set the accounts up properly first, then cleaned up everything I never entered."

Rolian Rolian
Owner, Overtime Electric

"When I came to them I had no financial structure in place at all. No job costing, no WIP tracking, books were behind, no real way to tell if any job was actually making money. They came in, did a full cleanup, and set up job costing and WIP tracking inside QuickBooks."

Where register data goes wrong on the way to your books

Departments set up loosely

Items land in a catch-all department and never map to the right income account.

Lottery counted as sales

Lottery inflates revenue because it was never split out.

Sales tax in income

Tax collected is counted as sales.

Cash that does not match

Drawer counts and deposits differ and the difference is ignored.

Fees not recorded

The processor's fee comes out before the deposit and is never booked.

Refunds and voids

Returns are handled at the register but never reflected in the books.

FAQ

Frequently asked questions

It is the point-of-sale system Modisoft provides for convenience stores and gas stations. It records fuel and store sales at the counter and the pump and passes them to the back office.
It depends on your setup. The register passes data to the back office, which totals the day, and those totals are imported or entered into QuickBooks Online. What matters is that each total lands in the right account and ties to the bank.
No. It records sales. Bank reconciliation, fees, sales tax and financial statements live in accounting software such as QuickBooks Online.
It depends on your plan, hardware and number of stations. Modisoft quotes it directly, so ask them or your reseller for current pricing. We do not sell or price the system.
No. We work from your existing register and back-office reports and your QuickBooks Online file.
Only if someone records them. The processor usually deducts its fee before depositing, so the bank shows less than sales. We record fees as an expense each month and tie them to the statement.
