Modisoft Hardware and Equipment: What Each Device Means for Your Books

Modisoft sells scanners, PIN pads, receipt printers, cash drawers and kiosks. Each is both a purchase to record and a control on the numbers the register produces. This page explains what each device does, how to book the equipment itself, and what each device protects.

Quick answer

How should I record Modisoft hardware in my books?

A purchase such as a scanner, PIN pad or kiosk is either expensed or recorded as equipment and written off over time, which is a decision for you and your accountant. Leases and financing need splitting into principal and interest. The devices also act as controls on your sales and cash.

Equipment as a purchase, and equipment as a control

Modisoft's hardware page lists items such as Datalogic barcode scanners, a PAX PIN pad, Star Micronics receipt printers, an APG cash drawer, HP Engage kiosks and a KDS touchscreen. Models and prices change, so confirm what you have with Modisoft or your reseller. We are not part of Modisoft and do not sell hardware. This page looks at the equipment from your books' side.

Buying it

A new register setup is a purchase that has to go somewhere. Whether an item is expensed or recorded as equipment and written off over time is a decision for you and your accountant, based on its cost and your tax position. Keep the invoice, since it shows the date and what was bought.

Leasing or financing it

If the equipment is leased or financed, the payments are not all expenses. Part of each payment may be interest, and a financed item may belong on the balance sheet. Ask for the agreement. Booking the whole payment as an expense can hide a loan you still owe.

The scanner and your stock

A scanner that reads every item keeps the register honest. Items keyed in by hand are where price mistakes and unrecorded stock start. Over a few months, that shows up as a gap between what you bought and what you sold, which is hard to trace afterward.

The PIN pad and your deposits

The device that takes the card decides which processor settles it. Replacing one can change when the money arrives and what it costs, so deposits need watching around the change. Compare the first few deposits after the swap with your register card totals. What changes depends on your agreement, so confirm it with Modisoft or your reseller.

The drawer and the printer

The cash drawer is where over and short begins, and the printer produces the receipts that prove a refund or void. Neither adds a line to the books, but both decide whether a difference can be explained. A drawer that opens without a sale deserves a question.

How to use this page

To see what each device does for your numbers, go to the equipment guide. To see how equipment goes wrong, go to where it goes wrong. If you want a team to book it, what we do covers it. Keep the receipts for each device you buy.

What we do about your equipment

1

Record the purchase properly

Invoices for hardware are separated from supplies and booked the way your accountant prefers.

2

Track leases and loans

Payments are split between principal and interest where the agreement shows it.

3

Watch the controls

Cash differences, voids and keyed items are reviewed as signs that a device is not being used well.

4

Plan a replacement

When a PIN pad or register changes, we line up old and new settlements so nothing is lost.

"They didn't just record transactions and call it a day. They built a custom chart of accounts around how a remodeling company actually runs, did a full catch-up on years of bookkeeping inside QuickBooks Online, and now stay on top of my monthly bookkeeping and payroll."

"Sahil and his team have been handling the bookkeeping and job costing for my painting business. They've done a great job cleaning up my books, using integrations to give me accurate, timely job costing and solid weekly data. Reliable, and the team is very detailed."

"They set the accounts up properly first, then cleaned up everything I never entered."

Rolian Rolian
Owner, Overtime Electric

"When I came to them I had no financial structure in place at all. No job costing, no WIP tracking, books were behind, no real way to tell if any job was actually making money. They came in, did a full cleanup, and set up job costing and WIP tracking inside QuickBooks."
