From CStoreOffice to QuickBooks Online

How to Sync CStoreOffice to QuickBooks Online for a Gas Station

Petrosoft says CStoreOffice can exchange data with accounting software, including QuickBooks. How it works for you depends on your setup, so this page does not assume one route. It lays out the ways totals can reach QuickBooks, a safe order for switching one on, what to map and how to prove it is right. We do not set up or repair the connection, and we are not Petrosoft.

Quick answer

How do I get CStoreOffice totals into QuickBooks Online?

Totals reach QuickBooks by being typed in, by a file imported in a batch, or by a connecting tool. Ask Petrosoft in writing which routes your plan supports. Whichever you use, write the account map first, test one closed month against the bank, then go live from a written start date and check the days every month.

Syncing CStoreOffice to QuickBooks: choose the route, then prove it

Petrosoft's own materials say CStoreOffice integrates with accounting and ERP software, and name QuickBooks. Those are vendor statements, and they do not say which QuickBooks editions are covered, how often data moves or what it includes. Confirm that with Petrosoft before you rely on it. A connection moves totals. It does not record card fees, match deposits to the bank or decide how tax and lottery are treated. We are an independent accounting firm and are not affiliated with Petrosoft. What your own plan includes is something to confirm with Petrosoft.

The three routes

Totals can be typed into QuickBooks by hand, exported from CStoreOffice as a file and imported in a batch, or passed across by a connecting tool. Each one fails in a different way: typing drifts, files get loaded twice, and a connection can stop without a message.

Ask Petrosoft in writing

Ask which route your plan supports, which QuickBooks edition it covers, what data moves, how often, and what happens when a day is corrected after it has gone across. Keep the answer, because it decides what you have to check.

Write the account map first

List every CStoreOffice department and tender and the QuickBooks account each one belongs in. Fuel, store, lottery, tax and each tender need their own places. A map written down before switch-on is the best defence against totals landing in the wrong account.

Test one closed month

Run a month that is already closed and tied to the bank through the new route, and compare the result to the books you trust. If it does not agree, fix the map before any live day goes through.

Go live from a written date

Pick a start date, stop the old method that day and note the last day posted by hand. Two methods running together is the usual cause of a doubled day.

How to use this page

If numbers already differ, go to CStoreOffice QuickBooks sync not working or why CStoreOffice does not match QuickBooks. For the wider picture, see the QuickBooks integrations hub.

What we do

1

Write the account map

Every department and tender mapped to its own account.

2

Design the test

One closed month tied to the bank before go-live.

3

Set the start date

A written line between old and new.

4

Check the first month

Every day counted, every deposit tied.

5

Record what the sync skips

Card fees, pass-through tax and lottery.

A safe setup in five steps

1

Find out your route

Ask Petrosoft in writing.

Which route, which QuickBooks edition, what data and how often.

Keep the reply so everyone works from the same facts.

2

Write the account map

Each department and tender to an account.

Fuel, store, lottery, tax and tenders each get their own place.

Update the map when the price book changes.

3

Test a closed month

Compare against books you trust.

Run the month through the route and tie it to the bank.

Fix differences before any live day.

4

Go live

From a written start date.

Stop the old method that day and note the last day posted by hand.

Never run two methods at once.

5

Check every month

Count days, tie the bank.

Days posted against days closed, deposits against settlements.

This check is the one that catches a quiet failure.

How a sync fails

A day posted twice

A file was loaded again, or two methods ran together.

A day that never arrived

The connection stopped without a message.

A department in the wrong account

It was renamed in the price book and the map was not updated.

Tax and lottery counted as income

The map treated them as sales.

Card fees never recorded

Sales reach the books but fees do not.

A closed month edited after sharing

A day corrected in CStoreOffice no longer matches.

"They didn't just record transactions and call it a day. They built a custom chart of accounts around how a remodeling company actually runs, did a full catch-up on years of bookkeeping inside QuickBooks Online, and now stay on top of my monthly bookkeeping and payroll."

"Sahil and his team have been handling the bookkeeping and job costing for my painting business. They've done a great job cleaning up my books, using integrations to give me accurate, timely job costing and solid weekly data. Reliable, and the team is very detailed."

"They rebuilt the whole thing from the ground up, with real job costing, WIP, and retainage."

"They set the accounts up properly first, then cleaned up everything I never entered."

Rolian Rolian
Owner, Overtime Electric

"When I came to them I had no financial structure in place at all. No job costing, no WIP tracking, books were behind, no real way to tell if any job was actually making money. They came in, did a full cleanup, and set up job costing and WIP tracking inside QuickBooks."
