CStoreOffice to QuickBooks

Does CStoreOffice Integrate with QuickBooks?

Petrosoft says CStoreOffice integrates with accounting and ERP software, and names QuickBooks. That is a vendor statement, and it does not say which edition, what data or how often. This page explains what to ask Petrosoft and what to check on your own books, whichever route your totals take. We are not Petrosoft.

Quick answer

Does CStoreOffice integrate with QuickBooks?

Petrosoft says CStoreOffice integrates with accounting software, including QuickBooks. Which edition is covered, what data moves and how often depends on your setup, so confirm it with Petrosoft in writing. Whichever route you use, check that each day is posted once, in the right account, and ties to the bank.

By the FuelCFO team. Where this page describes a vendor's product, the details come from the vendor's own public descriptions and can change, so confirm them with the vendor. Figures in diagrams are illustrative.

What "integrates" does and does not mean

A vendor can say it integrates with QuickBooks and mean several different things, from a one-way export to a live connection. Petrosoft's materials do not spell out which, and independent descriptions are thin. So treat the claim as a reason to ask questions, not as proof that your numbers will tie. We are an independent accounting firm and are not affiliated with Petrosoft. What your own plan includes is something to confirm with Petrosoft.

What to ask Petrosoft

Ask which QuickBooks editions are covered, whether it is an export, an import or a live connection, what data it carries, how often, what happens to a day corrected afterwards, and what it costs. Get the answers in writing.

What a connection cannot do

It moves totals. It does not record card fees, match deposits to the bank, decide how lottery and sales tax are treated or tell you when a day was skipped.

What to check on your side

Each day should land once, in the right account, and tie to the bank. Count days posted against days closed every month, and tie the deposits to the settlements.

Without a connection

Many stores post by file import or by typing the daily totals. Both work if the map is written down and the days are counted.

If you already have one running

Do not assume it is right because it has run for a while. Run the month-end check once and see whether it ties.

Checking an integration in five steps

1

Ask in writing

Edition, data, frequency.

Get Petrosoft's answer on what your plan includes.

Keep it with your records.

2

Write the map

Departments and tenders to accounts.

Fuel, store, lottery, tax and tenders each get their own place.

Update it when the price book changes.

3

Test a month

Closed and tied to the bank.

Run it through the route and compare.

Fix differences before going live.

4

Go live

From a written date.

Stop the old method that day.

Never run two at once.

5

Check monthly

Count days and tie the bank.

This is the check that catches a quiet failure.

We report the result in a short note.

What goes wrong after "it integrates"

Assuming it covers your edition

The claim does not name one.

Assuming it records card fees

It carries totals, not fees.

A day sent twice

A re-run, or two methods at once.

A day never sent

The connection stopped quietly.

A wrong account after a rename

The map was not updated.

"They didn't just record transactions and call it a day. They built a custom chart of accounts around how a remodeling company actually runs, did a full catch-up on years of bookkeeping inside QuickBooks Online, and now stay on top of my monthly bookkeeping and payroll."

"Sahil and his team have been handling the bookkeeping and job costing for my painting business. They've done a great job cleaning up my books, using integrations to give me accurate, timely job costing and solid weekly data. Reliable, and the team is very detailed."

"They rebuilt the whole thing from the ground up, with real job costing, WIP, and retainage."

"They set the accounts up properly first, then cleaned up everything I never entered."

Rolian Rolian
Owner, Overtime Electric

"When I came to them I had no financial structure in place at all. No job costing, no WIP tracking, books were behind, no real way to tell if any job was actually making money. They came in, did a full cleanup, and set up job costing and WIP tracking inside QuickBooks."
