Gilbarco to QuickBooks

Does Gilbarco Integrate with QuickBooks? What to Ask and What to Check

Gilbarco describes Passport as open to other systems, which makes this question hard to answer in one line. This page explains the ways Gilbarco totals can reach QuickBooks Online, who to ask, and the checks the books need whichever route you use. We do not set up the connection.

Quick answer

Does Gilbarco Passport integrate with QuickBooks Online?

That depends on your setup. Passport itself connects to other systems, and a back office or a connecting tool often sits between Passport and QuickBooks. Ask Gilbarco, your installer and your back-office vendor in writing what your site can send. Whichever route you have, each day must land once, in the right account, and tie to the bank.

Gilbarco and QuickBooks: how totals can move across

We cannot tell you what your site connects to, because it depends on your setup, your back office and your agreements. Gilbarco Veeder-Root makes fuel dispensers and the Passport point-of-sale platform, and describes Passport as built on an open architecture that connects to back-office, loyalty, price sign, car wash and tank-monitoring systems. That openness is why the chain from register to QuickBooks can have an extra link. We work from the reports your Gilbarco setup already produces, your statements and your QuickBooks Online file. We are not part of Gilbarco, we do not set up or change anything in it, and what your own setup includes is something to confirm with Gilbarco, your installer or your back-office vendor.

Ask three questions in writing

What can my site send to QuickBooks Online, in what form, and who supports it if it stops? Put the question to Gilbarco or your installer for Passport, and to your back-office vendor if you have one. A written answer protects you if the connection fails later.

The three routes

Someone types the daily totals in, a report is exported and imported in a batch, or a connecting tool passes totals across. With Passport there may also be a back office that does the first of these steps. Each route can work, and each fails differently.

Know which system does what

If Passport feeds a back office and the back office feeds QuickBooks, a failure at either step looks the same in the books: a day is missing or wrong. Knowing the chain tells you where to look, and who to call.

An integration moves totals, nothing more

Even the smoothest connection does not record card fees, match deposits to settlements or decide how lottery and sales tax are treated. A connection with the wrong account map is still wrong, only faster.

What to check on any route

Count the days posted against the days the site closed, compare income for a sample day with the report, check that tax and lottery sit in liabilities, and match deposits to the bank. Do it every month, because a failure leaves no message.

How to use this page

To set one up safely, read how to sync Gilbarco to QuickBooks. If one is already misbehaving, see Gilbarco QuickBooks sync not working. For the wider picture, read QuickBooks integration for gas stations. To have a team own it, see what we do.

What we do whichever route you have

1

Map the chain

We work out which systems sit between the pump and QuickBooks.

2

Write the account map

Each department, tender and fee gets a named account.

3

Check the days

Days posted are counted against days closed.

4

Tie to the bank

Deposits and settlements are matched, with a reason for each gap.

5

Handle what a connection skips

Card fees, lottery and sales tax are recorded in the books.

How we check the route each month

1

Confirm the chain

Passport, any back office, and how totals reach QuickBooks.

The checks depend on the route. A typed store needs a close look at missed days, and a connected store at silent failures.

You do not need to change anything.

2

Count the days

Days posted against days closed.

A missing or doubled day explains the most gaps for the least work.

Gaps are listed the same week.

3

Test the map

Each department and tender is followed to its account.

Tax and lottery must be liabilities, not income.

Any department that changed is flagged.

4

Match the bank

Deposits, settlements and fees are tied to what was posted.

Timing is separated from real differences.

Fees are booked as expense.

5

Report

You get closed books and a short note.

The note lists open items and any change to the map.

If the route keeps causing problems, we say so.

Routes from a Gilbarco site to QuickBooks, and what to check

RouteHow totals arriveWhat to check
Typed inSomeone enters each day's totalsEvery day entered once, typed figures against the report
Imported fileA report is exported and loaded in a batchNo file loaded twice, map right for every department
Back office or connecting toolTotals pass across automaticallyDays that never arrived, totals in the wrong account
Any route: card feesNot in the sales totalFees against the processor statement
Any route: lottery and taxAppear in totals as salesRecorded as liabilities, not income

What your site can do depends on Gilbarco, your installer and any back office. Ask them which routes yours supports.

Where the answer goes wrong

Assuming a connection exists

Nobody asked, and totals were never entered.

Not knowing the chain

A failure at one link is blamed on another.

No check after launch

A silent failure runs for months.

Pass-through money as income

Tax and lottery are counted as sales.

Fees never recorded

Card fees leave the bank and no expense is booked.

"They didn't just record transactions and call it a day. They built a custom chart of accounts around how a remodeling company actually runs, did a full catch-up on years of bookkeeping inside QuickBooks Online, and now stay on top of my monthly bookkeeping and payroll."

"Sahil and his team have been handling the bookkeeping and job costing for my painting business. They've done a great job cleaning up my books, using integrations to give me accurate, timely job costing and solid weekly data. Reliable, and the team is very detailed."

"They set the accounts up properly first, then cleaned up everything I never entered."

Rolian Rolian
Owner, Overtime Electric

"When I came to them I had no financial structure in place at all. No job costing, no WIP tracking, books were behind, no real way to tell if any job was actually making money. They came in, did a full cleanup, and set up job costing and WIP tracking inside QuickBooks."
