QuickBooks Month-End Close Checklist for the Verifone + PDI Setup

Three systems have to agree before a month is closed. Work through this QuickBooks month-end close checklist in order, from the register to PDI to QuickBooks Online to the bank, and you will find the errors now instead of at tax time.

How to use this month-end close checklist

A month is not closed when the reports look right. It is closed when every number has been checked against something outside the report: the register against PDI, PDI against QuickBooks Online, and QuickBooks against the bank. This checklist follows that path, in the order that makes each check easier. It works as an end of month accounting checklist for gas stations, whether you close the books yourself or hand them to a bookkeeper.

Work in this order

Start at the register and finish at the bank. An error found at the register shows up again in PDI, QuickBooks and the bank, so fixing it first saves you from chasing the same difference three times.

Treat every item as pass or fail

An item either ties or it does not. If it ties, tick it. If it does not, write down the day, the amount and the system it differs in. That note is the start of the fix.

Timing is not an error

Cash is deposited a day or two after the sale, and card and fleet card money arrives later, net of fees. A difference that clears on its own within a few days is timing. One that never clears is an error.

Do not force a match

A journal entry can make two numbers agree without fixing why they differed. Correct the mapping or the posting instead, so the gap does not come back next month.

Lock the month when it passes

When every item ties, lock the period in QuickBooks Online so later changes cannot quietly alter a closed month.

Is every day closed and counted?

  • Every day of the month has a closed register day, with no gaps
  • Cash counted at the end of each shift or day against what the register expected
  • Voids, refunds and no-sales reviewed for anything unusual
  • Fuel, department and tender totals available for each day
  • Any register correction written down with its date and reason

In PDI

Do PDI's totals match the register?

  • PDI has totals for every day of the month
  • Fuel, department, tender and lottery totals agree with the register
  • Expected deposits are calculated for each day
  • Any change made in PDI after the fact is noted
  • Report layouts have not changed in a way that moves numbers between lines

Into QuickBooks Online

Was each total posted once and to the right place?

  • Every PDI day is posted exactly once, with no gaps or doubles
  • Fuel is posted by grade and store sales by department
  • Sales tax and lottery are posted as liabilities, not income
  • Posted totals equal PDI totals for each day
  • Over and short is posted to its own account

Bank and cards

Does the money match the books?

  • Every bank and credit card account is reconciled to its statement
  • Cash deposits are matched to the days they came from
  • Card and fleet card settlements are matched, net of fees
  • Processor and fleet card fees are recorded as expenses
  • Clearing accounts are at zero, or every balance is explained

Fuel and vendors

Do deliveries, tanks and bills agree?

  • Each fuel delivery matches the jobber invoice and bill of lading
  • Tank readings are compared with gallons sold, by grade
  • Fuel variances above your threshold are investigated
  • Vendor invoices are entered once and matched to vendor statements
  • Unpaid bills are accrued to the right month

Taxes and review

Is everything owed accounted for, and does it look right?

  • Sales tax payable matches the tax collected
  • Fuel tax payable is rolled forward and compared with the return
  • The lottery liability ties to the lottery statement
  • Fuel margin and store margin are reviewed separately against last month
  • Open items are cleared or assigned, and the period is locked

Where month-end closes usually go wrong

A day was never closed

A missing register day leaves PDI, QuickBooks and the bank permanently apart.

Posted twice or not at all

An import is repeated or skipped, so QuickBooks does not equal PDI for that day.

Pass-throughs counted as income

Sales tax and lottery inflate revenue and understate what is owed.

Deposits compared in total

A cash shortage hides inside a total that looks right.

Fees and settlements ignored

Card fees leave the bank unrecorded, and clearing accounts keep old balances.

Fuel left unreconciled

Cents per gallon is read from the sales report, not from delivered and sold gallons.
