Trusting the seller's gallons
Claimed volume is the biggest number in the model, and it is the easiest one to overstate.

A simple model that shows whether a station can carry its costs and its loan. It starts with gallons and margin per gallon, adds store and other profit, subtracts operating costs and ends with a debt service coverage ratio.

Follow the steps in order. It takes only a few minutes the first time.
Enter your gallons per day, margin per gallon and card fees. Use the seller's verified figures when buying.
Enter store sales and a margin, then car wash, food and other gross profit.
Enter payroll, rent, utilities, insurance, repairs and other costs.
Add principal and interest per month to see debt service coverage.
Lower gallons and margin to see how much room you have before coverage falls close to 1.0.
Coverage stays comfortably above 1.0 even when you lower gallons or margin. Lenders want to see that cash flow still pays the loan in a weaker month.
The loan is only covered when everything goes right. A small fall in gallons or margin pushes coverage below 1.0, which means the deal is too tight.

On a thin fuel margin, card fees can take a large share of what looks like profit per gallon.
Do this insteadSubtract card fees per gallon from margin, using your real processor statements.
Fuel and store stock must be paid for before it is sold, so a purchase needs cash beyond the price.
Do this insteadAdd a working capital line to your budget and your loan request.
Principal is not an expense, but it is real cash leaving the business every month.
Do this insteadKeep it out of profit, and include the full payment when you test debt service coverage.

Real US-based contractors. Same team, same operational discipline that we now bring to gas stations. Construction is a different vertical - but the muscle (multi-stream books, cost reconciliation, niche specialization) is the same one stations need.

"They didn't just record transactions and call it a day. They built a custom chart of accounts around how a remodeling company actually runs, did a full catch-up on years of bookkeeping inside QuickBooks Online, and now stay on top of my monthly bookkeeping and payroll."
Oniel Campbell
"Sahil and his team have been handling the bookkeeping and job costing for my painting business. They've done a great job cleaning up my books, using integrations to give me accurate, timely job costing and solid weekly data. Reliable, and the team is very detailed."
Dalton Mayberry
"They rebuilt the whole thing from the ground up, with real job costing, WIP, and retainage."
Carl Moore
Owner, Hearth & Haus

"They set the accounts up properly first, then cleaned up everything I never entered."
Rolian
"When I came to them I had no financial structure in place at all. No job costing, no WIP tracking, books were behind, no real way to tell if any job was actually making money. They came in, did a full cleanup, and set up job costing and WIP tracking inside QuickBooks."
