What a Verifone gas station POS records

In a typical Verifone gas station, the register, the payment system and the pumps work together, and every sale is recorded as it happens. That record is the raw material for your daily totals, your deposits, your sales tax and your fuel margin. If it is wrong or incomplete here, every later step inherits the error.

What the register records

Each sale at the pump and the counter: fuel by grade, store items by department, lottery, and how the customer paid, whether cash, card or fleet card. It also records voids, refunds and no-sales, which matter when cash does not add up.

How it differs from your books

The register records transactions. Your books record income, liabilities, expenses and bank activity. Sales tax and lottery appear in the register total but are not your income, and card fees leave the bank but never appear at the register.

How it reaches your books

The register passes its data on, usually to a back-office system that totals the day, and those totals are then posted into QuickBooks Online. How that last step happens, by import or by entry, depends on your store. Either way, each total has to land in one correct account.

Where it goes wrong

The usual failures are a day that was never closed, a day posted twice, totals mapped to the wrong account, pass-throughs counted as income, and card fees that never reach the books. Each is small, and together they leave books nobody trusts.
