For stores that close the day on CStoreOffice

CStoreOffice End of Day and Shift Reconciliation: What to Check

Petrosoft lists shift reconciliation and cash reconciliation among CStoreOffice's features. This page explains what to check on each day's close, how the day ties to the bank and QuickBooks, and what to save so the month closes cleanly. What your own setup shows is something to confirm with Petrosoft. We are not Petrosoft.

Quick answer

What should I check on the CStoreOffice end of day?

Check that every shift closed, the drawers counted, the tenders add up to the day's total and the day is locked before it is posted. Save the report, and later tie the day's cash and cards to the deposit that reaches the bank.

The daily close is the cheapest place to catch a problem

A day that closes cleanly is easy to post and easy to tie to the bank. A day that closes badly becomes a month-end puzzle. Petrosoft describes CStoreOffice as supporting shift reconciliation, price book and fuel sales tracking, so the same checks apply whichever report your store uses. Report names and layouts depend on your setup. We are an independent accounting firm and are not affiliated with Petrosoft. What your own plan includes is something to confirm with Petrosoft.

Did every shift close?

A shift left open can move sales to the wrong day. Check each shift closed and that the business date is the one you expect.

Did the drawers count?

Compare counted cash with expected cash for each drawer. Large or repeated differences are worth a conversation, and each one should land in a cash over and short account.

Do the tenders add up?

Cash, cards and other tenders should add up to the day's sales plus tax. If they do not, something is missing or counted twice.

Is the day locked?

A day posted before it is final can change afterwards and break a month you thought was closed. Post only after the day is locked.

Save the report

Export or save the end of day report each day, or at least each week. Reports are the evidence the month is built from.

How to use this page

To tie the day to the bank, go to the check list. For how a month closes, see CStoreOffice accounting. For the system-neutral version, see why QuickBooks does not match your POS report.

A daily close in five steps

1

Close every shift

Each drawer counted.

Check the business date and that no shift is left open.

An open shift can move sales to another day.

2

Check the tenders

They add up to the day.

Cash, cards and other tenders against sales plus tax.

A gap means something is missing or doubled.

3

Lock the day

Final before posting.

Post only a day that is locked.

It stops a posted day changing later.

4

Save the report

Keep the evidence.

Export the end of day report, daily or weekly.

The month is built from these.

5

Tie to the bank

When the deposit arrives.

Match the day's cash and cards to the deposit and settlement.

We do this for you each month.

"They didn't just record transactions and call it a day. They built a custom chart of accounts around how a remodeling company actually runs, did a full catch-up on years of bookkeeping inside QuickBooks Online, and now stay on top of my monthly bookkeeping and payroll."

"Sahil and his team have been handling the bookkeeping and job costing for my painting business. They've done a great job cleaning up my books, using integrations to give me accurate, timely job costing and solid weekly data. Reliable, and the team is very detailed."

"They rebuilt the whole thing from the ground up, with real job costing, WIP, and retainage."

Owner, Hearth & Haus

"They set the accounts up properly first, then cleaned up everything I never entered."

Rolian Rolian
Owner, Overtime Electric

"When I came to them I had no financial structure in place at all. No job costing, no WIP tracking, books were behind, no real way to tell if any job was actually making money. They came in, did a full cleanup, and set up job costing and WIP tracking inside QuickBooks."
