Accounting for owners with more than one store

PDI Multi-Store Accounting: Keeping Every Store Separate and Closed on Time

When you run several stores on PDI, one missing store-day or one mis-mapped department can hide inside a combined total. This page explains how to keep each store separate in QuickBooks, close every store each month, and still see one clear picture across all of them. We do not sell PDI.

Quick answer

How should a multi-store owner do accounting with PDI?

Keep each store separate in QuickBooks, using the same account map for all of them. Check that every store closed every day, tie each store to its own bank deposits, then combine them for a total picture. PDI totals each store and day, and the books turn those totals into one set of statements.

Running several stores on PDI: what the books need

PDI Technologies describes PDI Enterprise as keeping multiple sites in one database, with daily reporting and period close reporting for multi-site operators. That gives you a record of each store and day. The books still have to turn it into separate, comparable statements, and that is the part this page covers. What your own plan includes is something to confirm with PDI. We are not part of PDI and we do not sell it.

One close per store, per day

With several stores, a day is complete only when every store has closed. The first check each month is which store-days are missing. One missing day in one store disappears inside a combined total, which is why we count store by store before anything else.

Keep each store separate in the ledger

Each store should have its own income, cost and balance lines, or its own class or location in QuickBooks. A strong store can hide a weak one if they share a single sales line. Separate stores also make a sale, a loan or a partner buy-in much simpler later.

Use the same account map everywhere

Fuel, store sales, lottery and sales tax should map to the same accounts in every store. If one store maps lottery differently, comparing stores becomes guesswork. A written account map keeps managers and bookkeepers consistent.

Match each store to its own bank activity

Each store has its own deposits and card settlements. We tie each store to its own bank activity first, then look at the total. Combined matching can hide two errors that cancel out.

Cash moves between stores

Owners sometimes move cash, pay one store's bill from another, or fund a new store from the profits of an old one. Those transfers need their own accounts, so they are not counted as income or expense. Without them, one store looks better than it is and another worse.

How to use this page

For what to check each month, go to the store checklist. For the usual mistakes, go to where it goes wrong. For the single-store version, see PDI accounting, and for the daily close, the PDI end of day report. To have a team own it, see what we do.

A multi-store month, step by step

1

Confirm every store closed

We list each store and each business day.

Missing store-days are listed the same week while there is still time to find the report.

A store that closes late or not at all is flagged to you.

2

Collect one set per store

PDI reports, bank and card statements for each store.

One naming rule across stores makes gaps obvious.

We never need your PDI login.

3

Post store by store

Totals go to each store's own lines.

The same account map is used everywhere, so stores can be compared fairly.

Fuel, store sales, lottery and tax are kept apart.

4

Match each store to its bank

Deposits and settlements are tied to that store's PDI totals.

Each difference gets a reason before we look at the combined total.

Transfers between stores are recorded in their own accounts.

5

Compare the stores

Margin and fuel variance are read side by side.

A store that stands out is flagged with the likely cause.

Differences in pricing or shrink show up here.

FAQ

Frequently asked questions

Give each store its own lines, or use a class or location, and use one account map for all of them. That way each store has its own statement and the stores can be compared.
PDI describes Enterprise as keeping multiple sites in one database. Whether that suits your reporting depends on your plan, so ask PDI. The books still need each store kept apart.
It disappears inside a combined total. Counting store by store is the only way to find it.
In a transfer account, not as income or expense. Otherwise one store looks better than it is and another worse.
No. We work from the reports you send and your QuickBooks Online file, and we never need your login.
Yes. We set it up the same way as the others so the account map stays consistent.

"When I came to them I had no financial structure in place at all. No job costing, no WIP tracking, books were behind, no real way to tell if any job was actually making money. They came in, did a full cleanup, and set up job costing and WIP tracking inside QuickBooks."
