Petrosoft Back Office and CStoreOffice: What They Report and What Your Books Need

Petrosoft makes the CStoreOffice back office, the SmartPOS register, Fuel-Central for fuel inventory and several other products. This page explains what each does, which reports to pull each month and how the totals reach QuickBooks Online. We use Petrosoft's own descriptions, and we are not Petrosoft.

Quick answer

What is Petrosoft back office software?

Petrosoft, based in Pittsburgh, makes CStoreOffice, a cloud-based back office for convenience stores and fuel retailers covering inventory, price books, fuel sales, shift reconciliation and profit-and-loss reporting. It records the store. QuickBooks Online keeps the ledger and ties the bank. Check the details of your own plan with Petrosoft.

Petrosoft runs the store. QuickBooks keeps the books.

According to Petrosoft, the company was founded in Pittsburgh in 2002 and serves convenience stores, gas stations and fuel distributors. Its products include CStoreOffice (back office), SmartPOS (register), Fuel-Central (fuel inventory through tank gauge integration), tobacco scan data and EDI invoice services, and others. Those are vendor claims and the details depend on your plan. We are an independent accounting firm and are not affiliated with Petrosoft. What your own plan includes is something to confirm with Petrosoft.

CStoreOffice

Petrosoft describes it as a cloud back office covering item-level inventory, price book management, fuel sales, shift reconciliation and profit-and-loss reports, with more than 200 reports and a mobile app. It is the system most owners mean by "Petrosoft".

SmartPOS

Petrosoft's point-of-sale hardware and software for convenience stores. If it rings the sale and CStoreOffice reports it, the books need to know which report is official.

Fuel-Central

Petrosoft says it monitors fuel inventory through tank gauge integration and supports fuel forecasting. Fuel variances and deliveries are an accounting question as well as an operations one.

Scan data, EDI and invoices

Petrosoft offers tobacco scan data submission and EDI invoice processing. Rebates and vendor invoices need their own places in the books.

Where the books pick up

None of these is a general ledger. QuickBooks Online is where the ledger lives, the account your bank and CPA rely on. The totals reach it by typing, a file import or a connecting tool, and each route needs checking.

"They didn't just record transactions and call it a day. They built a custom chart of accounts around how a remodeling company actually runs, did a full catch-up on years of bookkeeping inside QuickBooks Online, and now stay on top of my monthly bookkeeping and payroll."

"Sahil and his team have been handling the bookkeeping and job costing for my painting business. They've done a great job cleaning up my books, using integrations to give me accurate, timely job costing and solid weekly data. Reliable, and the team is very detailed."

"They set the accounts up properly first, then cleaned up everything I never entered."

Rolian Rolian

"When I came to them I had no financial structure in place at all. No job costing, no WIP tracking, books were behind, no real way to tell if any job was actually making money. They came in, did a full cleanup, and set up job costing and WIP tracking inside QuickBooks."
