Petrosoft Competitors and Alternatives: What the Names Really Replace

A list of Petrosoft alternatives mixes registers, back offices and accounting software, and they do not replace the same thing. This page shows where each name sits, what to ask each vendor, and what your books need whichever you choose. We do not sell any of them, and we are not Petrosoft.

Quick answer

What are the alternatives to Petrosoft?

It depends which Petrosoft product you mean. For the CStoreOffice back office, comparable names include other back-office systems. For the SmartPOS register, the names are other registers. QuickBooks is not a replacement for either, because it keeps the ledger. Ask each vendor what it covers before comparing prices.

Reading a Petrosoft alternatives list

Petrosoft says it makes a cloud back office (CStoreOffice), a register (SmartPOS), a fuel inventory tool (Fuel-Central) and services for scan data and EDI invoices. A list of "alternatives" may be comparing any one of those, so the first job is to decide which you actually want to replace. We are an independent accounting firm and are not affiliated with Petrosoft, PDI or Modisoft. What your own plan includes is something to confirm with the vendor.

Decide what you are replacing

A register, a back office and a fuel tool are different jobs. A vendor that covers all of them is not directly comparable to one that covers only the back office, so compare like with like.

Names that are not alternatives

QuickBooks and similar accounting software keep the ledger. They do not ring sales or run the price book, so they do not replace a register or a back office. Lists often include them anyway.

Ask each vendor the same questions

What does the quote include? Which registers and pumps does it work with? How are reports exported to QuickBooks? Who supports it at night, and what does support cost? Write the answers down.

Think about the move, not only the price

A cheaper system that loses your history, or breaks scan data and invoice flows, can cost more than it saves. Ask what happens to the past and to every connected service.

What does not change

Whichever system you choose, deposits still need matching to the bank, tax and lottery stay out of income, card fees still need recording and each store still needs its own place in QuickBooks.

Comparing alternatives in four steps

1

Name what you replace

Register, back office, fuel tool or all three.

Write down which Petrosoft products you use today and which one is the problem.

This keeps the comparison fair.

2

List your must-haves

The registers, pumps and reports you cannot do without.

A demo should be tested against this list, not the vendor script.

Include the reports your accountant needs.

3

Call each vendor

The same questions in the same order.

Record what they actually said and ask for important answers in writing.

Ask about cost, support hours and setup.

4

Check the books side

Confirm how monthly data reaches QuickBooks Online.

If totals cannot be exported cleanly, the books suffer whichever you pick.

We can review a sample export for you.

What stays the same for your books

The bank match

Deposits and settlements still need matching to statements.

Pass-throughs

Tax and lottery still have to stay out of income.

Card fees

Fees still need recording.

Store separation

Each store still needs its own place in QuickBooks.

Month-end

A reviewed close still matters.

"They didn't just record transactions and call it a day. They built a custom chart of accounts around how a remodeling company actually runs, did a full catch-up on years of bookkeeping inside QuickBooks Online, and now stay on top of my monthly bookkeeping and payroll."

"When I came to them I had no financial structure in place at all. No job costing, no WIP tracking, books were behind, no real way to tell if any job was actually making money. They came in, did a full cleanup, and set up job costing and WIP tracking inside QuickBooks."
