Lottery from Verifone to your books

Verifone Lottery: How to Account for It in QuickBooks

Lottery runs through the counter all day, and the numbers go wrong in small daily ways. At a Commander store the lottery lines can sit in the register, the site controller or the Back Office. This page explains how lottery should reach QuickBooks at a Verifone store.

Quick answer

How should Verifone lottery be recorded in QuickBooks?

Most lottery sales are held for the lottery, so they go through a liability account. Payouts reduce that liability, your commission is income, and the settlement to the lottery clears the balance. Counting lottery as sales makes revenue look larger than it is.

Verifone lottery: the daily routine and the month-end result

Verifone describes the Commander Site Controller as combining site, payment and forecourt control, with registers that include Topaz and Ruby2 and a cloud Back Office. Lottery reports and where they come from (the Commander site controller, the register or the Back Office) depend on your setup and your state lottery, so confirm yours with Verifone or your reseller. We are not affiliated with Verifone. Because lottery runs all day at the counter, this page follows one day of it from the register to the books.

At the register

Draw games and scratch-offs are rung at the register and prizes are paid at the counter. Whether the figures then appear on the site controller, the register report or the Back Office depends on your setup, so find out which one you treat as official. Keep lottery apart from store items, because most of that money belongs to the state, not to you.

At shift change

The cleanest time to check lottery is when the shift changes, while cash, tickets and payouts can still be traced to one person. Waiting until the end of the week makes a small gap hard to explain.

Instant ticket packs

Scratch-off packs are activated and sold down. A pack that goes live but is never accounted for is where most missing amounts begin. Count what remains in each pack and compare it with what the register shows as sold.

At month-end

The lottery balance in your books should match what the state lottery says you owe, after payouts and commission. If the two differ, find out why before closing the month. Settlement timing across the month-end is a common cause.

In the books

Sales and payouts sit in a liability account. Your commission is income, and the settlement to the lottery clears the liability. Done this way, revenue is not inflated by money that passes through to the state. Which of the site controller, the register or the Back Office holds a figure depends on how your site is set up.

How to use this page

Start with the lottery reports for what to pull, then where it goes wrong. For how we run a month, see Verifone accounting, and for every guide see the Verifone hub.

What we do with Verifone lottery numbers

1

Check the daily lines

Draw, instant and payout lines are checked against each other day by day.

2

Tie to the shift

Large differences are traced to the shift they came from.

3

Record the commission

What you earn is booked as income.

4

Match the statement

The month-end liability is matched to the state lottery statement.

How a Verifone lottery month is closed

1

Collect the daily lines

The Verifone lottery lines for each day.

We agree which report is official and use the same one every month.

Daily lines show where a difference began.

2

Check the days

Odd days and large payouts are listed.

A single big payout can explain a monthly gap.

We list them for you.

3

Post the month

Sales, payouts and commission go to their own accounts.

Lottery owed is a liability, not income.

The account list is written down.

4

Match the statement

The liability is compared with the state statement.

They should agree. If not, we find the day.

Timing is separated from real gaps.

5

Report

You get the books and a note on any difference.

Tickets that do not add up are listed for you to check at the store.

The note is short and specific.

The same lottery total appears in more than one report and is posted twice.

Lottery counted as sales

Revenue is overstated by the full lottery total.

Settlement booked as an expense

The payment to the lottery never clears the liability.

FAQ

Frequently asked questions

Lottery sales and payouts go through a liability account, the commission you earn is income, and the settlement to the lottery clears the liability. Confirm the setup for your state.
That depends on your site setup and plan. Ask Verifone or your reseller which report carries the lottery lines, then use that one every month.
Daily, ideally at shift change, when cash, tickets and payouts can still be traced to one person. A month-end check alone finds problems too late.
Not the full amount. Only the commission you earn is yours, and the rest is held for the lottery.
Common causes are missed payouts, untracked packs, timing across month-end, and settlements booked as expenses. We trace the difference to its cause each month.
No. We work from your existing reports, your lottery statements and your QuickBooks Online file, and never need your login.
See Modisoft lottery and PDI lottery for the same guide on other systems, and the Verifone hub.

"When I came to them I had no financial structure in place at all. No job costing, no WIP tracking, books were behind, no real way to tell if any job was actually making money. They came in, did a full cleanup, and set up job costing and WIP tracking inside QuickBooks."
